Step 2: Complete the Onboarding Flow

After signing up, you land on a quick onboarding flow. Fill in:

• Website URL: The main domain you want to track.
• Business Name: Your brand or company name.
• Industry: The category your brand operates in.

Step 3: Land on the Dashboard

Step 4: Set Up Your Brand Book

From the left sidebar, click "Brand book" under "Brand Settings". Fill in:

• Brand Name and Website
• Short Description and full Description
• Industry
• Language and Country
• Key Features that define your brand

Click "Save Changes". This is the foundation that powers every monitor, prompt, and report.

Step 5: Add Your Competitors

Click "Competitors" in the sidebar. Hit "+ Create Competitor" and add your direct rivals one by one. For each, set:

• Brand Name
• Domain
• Relation: Direct Competitor, My Brand, Ignored, or No relation.

Use tags to group competitors by category, so you can filter cleanly later.

Step 6: Build Your First Persona

Click "Personas" in the sidebar. Personas tell Rankflo who is asking the questions. For example, "Digital Transformation Leader" or "SaaS Founder". Add 1 to 3 personas that match your real buyers. This shapes how Rankflo writes prompts and what AI behavior it tracks.

Step 7: Create Your First Monitor

Now head to "Monitors" under "Monitoring" and click "+ New Monitor". You go through a 4-step wizard:

• Step 1 of 4: Choose a template (Brand Mentions, Search Queries, Sentiment Analysis, or Organic Search).
• Step 2 of 4: Add basic info (name, persona, description, language, country, initial prompt instructions).
• Step 3 of 4: Review and edit the auto-generated prompts. Add, remove, or regenerate.
• Step 4 of 4: Pick the AI models to query (ChatGPT, ClaudeAI, Gemini, Grok, Perplexity).

Click "Create Monitor". Rankflo starts running prompts in the background.

Step 8: Wait for Initial Data

Your monitor shows a "Generating responses" tag while Rankflo runs the prompts. First-time data collection usually takes 10 to 30 minutes, depending on the number of prompts and AI models you picked. Grab a coffee.

Step 9: Read Your Monitor Results

Click on your monitor to open the full details page. You see five tabs:

• Prompts: Visibility per prompt, type, volume, difficulty, brands mentioned.
• Responses: Full AI answers Rankflo captured.
• Citations: URLs the AI cited in its answers.
• Competitors: Which brands showed up alongside yours.
• Settings: Edit, pause, or delete the monitor.

Step 10: Explore Prompts and Citations

From the left sidebar, open "Prompts" to see every prompt across all monitors. Open "Citations" to see every URL AI models cited. Use filters and tags to zoom in fast. Both sections export to CSV for clean reports.

Use what you find to make real moves:

• Build content for prompts where competitors win.
• Pitch authoritative sites that already cite your competitors.
• Strengthen pages already getting cited so they hold their spot.

Once your first monitor is running, add more. Track different personas, languages, regions, or campaigns. Build a sentiment monitor next to your brand mentions monitor. Agencies can repeat the full setup for every client they manage.
